Hours of Festival Operation compliance:

• Friday, January 30, 1-4 p.m. Vendor arrival, and set-up
• Friday, January 30, 7-10 p.m., Grand Tasting
• Saturday, January 31, 11-6 p.m. The Marketplace
• Sunday, February 1, noon-4 p.m. The Marketplace
• Sunday, February 1, 4-6 p.m., pack up & load out.

Booths may not be dismantled before 4:00 PM — Please!

Exhibit Space

Booth space is 9’ x 11’. One 8-foot skirted table and 2 chairs will be provided. Your booth must be staffed at all times. Vendors are responsible for their exhibit area. All displays should be kept neat and clean and all tables should be covered to the ground. Exhibitors are responsible for maintaining a clean area during setup, during show hours and making sure their area is completely clear of all trash during dismantling.

(If you plan to utilize a tent, please contact a coordinator to discuss.) We provide a LIMITED number of 10’ x 10’ spaces for vendors who use a tent for branding purposes. You must indicate on the application if you intend to use a branding tent.

Booths must be staffed at all times. We have found that it is best to have at least three (3) people manning each booth. We will provide ice for your convenience.

Coastline staff and festival voluteers will assist periodically with trash pickup and getting purchases to concierge booth. An ATM machine will be onsite and we will provide change whenever possible.

Grand Tasting: Tasting will be Friday night from 7-8:30 with the Marketplace preview until 10 p.m. We are encouraging festival-goers to purchase your products throughout the festival.

Hospitality: A caterer will be on hand selling sandwiches and salads. A hospitality room will be offered to vendors to take breaks and have coffee, water and snacks.

Electricity is available for an additional $25.00 charge.

Temporary Food Establishment Permit
(if applicable to your booth) An application for a Temporary Food Establishment Permit from the New Hanover County Health Department may be required. As the vendor, it is your responsibility to have all your necessary paperwork and permits. The request for a permit must be submitted to NHCHD 30 days prior to event. You will be contacted by them after your request is sent.

FAILURE TO SELL OR SHOW ONLY THOSE ITEMS LISTED COULD RESULT IN DISMISSAL FROM THE SHOW WITH NO REFUNDS OF FEES PAID.

AGREEMENTS (Please read completely)

I understand that reasonable security will be provided, but I will not hold V.O.C.A.L., New Hanover County, Inc./ Wilmington Wine & Chocolate Festival or their representatives liable for loss, damage or injury. V.O.C.A.L., New Hanover County, Inc./ Wilmington Wine & Chocolate Festival is not responsible for any items stolen, damaged, lost or any other misappropriation of items for the duration of the event, including set-up and tear-down times.

I further agree to indemnify, save harmless, and defend V.O.C.A.L., New Hanover County, Inc./ Wilmington Wine & Chocolate Festival, its successors in interest from and against any and all claims, actions, debts, liabilities, and attorney’s fees arising out of, claimed on account of, or in any manner predicated upon loss or damage to the property of and injuries to or death of any and all persons whatsoever, in any manner caused or contributed to by the vendor, its agents, or employees while in, upon, or about The Wilmington Wine & Chocolate Festival facility where the booth is located, or while going to or departing from the same, and to indemnify and save harmless V.O.C.A.L., New Hanover County, Inc./Wilmington Wine & Chocolate Festival, its successors in interest from any liability that V.O.C.A.L., New Hanover County, Inc./ The Wilmington Wine & Chocolate Festival may suffer as the result of acts of negligence, fraud or misconduct Wilmington Wine & Chocolate Festival any vendors agent or employees on or about The Wilmington Wine & Chocolate Festival grounds.

I release V.O.C.A.L., New Hanover County, Inc./ Wilmington Wine & Chocolate Festival from any and all liability for loss or damage to property and merchandise used by the vendor in the operation of the concession due to theft, fire, storm, flood, and damages through any force of nature or otherwise.I further grant V.O.C.A.L., New Hanover County, Inc./ The Wilmington Wine & Chocolate Festival permission to use any photographs, motion pictures, recording, or any other record of my participation in the festival for any legitimate reasons.
